Start by listing your current setup
List the computers, network devices, servers and printers to move. Decide where each device will be used in the new office. Consider users and connection points separately: meeting rooms and shared spaces may also need connectivity.
Add technical requirements to the layout
Review desks, cabinet locations and connection points on the same plan. Mark the areas that need wireless access. If there is no information about existing cabling, arrange a site assessment before ordering equipment.
Plan the transition around your business
Set the moving date, internet availability date and application check stages. Document which systems should be brought online first and who to contact if an issue arises.
Define handover checks in advance
Prepare a checklist for user connections, printers, meeting rooms and critical applications. Clarify commissioning and subsequent support as well as installation in the project proposal.
Pre-move checklist
Record the room, desk, user and device for each connection point. Confirm when internet service will be available at the new address. Identify the cabinet location, power needs and access permissions. Match equipment labels to the inventory and document cable connections with photos and notes. This makes it possible to rebuild connections from an agreed plan instead of guessing where equipment belongs.
How should you sequence the move?
For an illustrative office, checks might start with internet and network connectivity, followed by user access, shared files, printers and meeting tools. The actual order depends on critical business applications. A team relying on order processing may require that application to pass acceptance first. Assign an owner and a completion condition to each step; equipment powering on is not the same as a working business process.
How will work continue if something fails?
Agree on the conditions for pausing the transition before starting. Where data is moved, check backup availability and the recovery method. Identify who decides when a critical application fails, how users will be informed and what alternative working arrangements are available. Assign a support owner for the first working day after the move so that small issues do not remain unresolved.
